1. Who we are

The Sponsor Companion ("the platform") is owned and produced by KRG Capital Limited ("we", "us"). By creating an account or using the platform you agree to these terms on behalf of yourself and the organisation you use it for.

2. What the platform is — and is not

  • The platform helps you track sponsor duties. It is only designed to assist.
  • It is not a government service and is not connected to the Home Office, UK Visas and Immigration or the CQC.
  • It does not submit anything to the Home Office, including through the Sponsor Management System.
  • It is not immigration or legal advice. Rules shown in the platform only apply once approved by your own regulated immigration adviser.
  • It does not assume any responsibility for compliance.

3. Your responsibilities

  • Your organisation keeps full and overall responsibility for its sponsor licence, every sponsor duty, reporting deadline and right to work check, and for any decision you take.
  • You are responsible for making sure the information you enter or approve is accurate, complete and up to date. Information read automatically from documents or screenshots must be checked by a person before it is saved.
  • You must keep your own records as required by the Home Office (including Appendix D). The platform does not replace them.
  • You must have a lawful basis to upload personal data about workers and must tell them how it is used.
  • Keep your password and authenticator app private, and only give people the access they need.

4. How your information is held

  • Information is stored in a secure cloud database and private file storage. Uploaded documents are never publicly accessible.
  • Each care group's data is kept separate. The database itself checks every request, so people only see what their role allows.
  • Everyone must use two-step verification. Connections are encrypted.
  • Changes to records and sign-in activity are logged for an audit trail. Activity logs are kept for two years.
  • Documents may be read by an AI service to suggest details; nothing is saved until a person approves it.
  • Your organisation is the data controller for worker information; we process it on your behalf to provide the platform.
  • Group administrators can delete records. When an account is closed, its log-in is removed; organisation records stay with the care group unless it asks for them to be deleted.

5. Acceptable use

Do not misuse the platform, try to see another organisation's data, share log-ins, or upload anything unlawful. We may restrict or close accounts that break these terms.

6. Fees

The platform costs £9.99 per care home per month, billed to the care group, regardless of how many people use it.

7. Liability

The platform is provided to assist you. To the extent the law allows, KRG Capital Limited is not liable for any penalty, licence action, loss or decision arising from use of the platform, from information entered into it, or from a missed duty. Nothing in these terms limits liability that cannot be limited by law.

8. Changes to these terms

We may update these terms. When we do, you will be asked to read and agree to the new version before you can carry on using the platform.

9. Law

These terms are governed by the law of England and Wales.
